ACCOUNTS PAYABLE AND SUBSTITUTE SERVICES SPECIALIST DEPARTMENT:

Superintendent/CSBO GENERAL
Summary:
To contribute to staff morale by the prompt and accurate handling of all payable matters, contracts, and to perform other administrative functions in the central office that will assist the CSBO and Superintendent.
ESSENTIAL JOB FUNCTION AND DUTIES:
ACCOUNTS PAYABLE Performs all tasks to insure that all account payables are paid in a timely and accurate manner.
Performs all tasks to insure that purchase requisitions are completed in a timely manner.
Verifies all payable amounts before and after checks are processed.
Mails remittance invoices and check to vendors.
Types and keeps updated file on contracts for all contractual personnel.
Performs all tasks to activity accounts in Ivisions, including bank reconciliations and recording of deposits.
SUBSTITUTE SERVICES Maintains all employee attendance records and the necessary records for substitute teachers.
Maintain and track all employees through the Veritime Time Card System Takes employees' absentee calls and find appropriate substitute teachers.
Enter information in AESOP to find substitutes Keeps track of all substitutes days worked and payroll information.
Provide training to district subs on how to use AESOP for sub placement EXPENDITURE REPORTING Prepare ISBE grant expenditure reports for all categorical and flow-through grants Preform journal entries for expenditure corrections Prepare ad-hoc expenditure reports for vendors, departments or grants.
OTHER DUTIES Performs such typing duties as are assigned, including correspondence Operates all business machines in the central office Perform advanced Microsoft Excel spreadsheet operations to report out financial data Perform other specialized duties and projects assigned by the Superintendent or CSBO JOB SPECIFICATIONS:
High School Diploma; College degree preferred High level of competence in typing, accounting, math, and other business functions Prior experience preferred Expertise in creating and formatting in Excel Familiar with computers and software applications for word processing, data base and spread sheets TERMS OF EMPLOYMENT:
Twelve-month year, salary and work year to be established by the Board of Education EVALUATION:

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
